This article is part of our topic on construction site security.
A construction site security budget should separate setup, duration-based services, changes during the works and demobilisation. A monthly rental price alone cannot compare two quotes. The billed duration, included services and treatment of extensions matter equally.
This method uses only the amounts in your quotes. It builds a reference scenario and then examines an extension or relocation, without inventing prices or predicting the number of incidents.
Describe the same construction site to every supplier
Provide a dated plan, known schedule, entrances, storage areas and staffed hours. Specify power, network and equipment-relocation constraints. Identify who receives alerts and what response is expected. Without this common information, suppliers may price very different services.
The construction site security guide helps prepare this scope. Coordination with site measures, described in the Suva tool, belongs in preparation; it does not disappear inside a technical package.
Separate confirmed needs from options: another area, a longer period, a second viewpoint or response service. Do not include an option in one total and omit it from the other.
Items that should appear in the quote
| Stage | Possible items | Question to clarify |
|---|---|---|
| Before and at startup | Assessment, preparation, transport, mounting, connections, settings and tests. | Which works and responsibilities remain with the client? |
| During the planned period | Rental, software, connectivity, energy, monitoring and maintenance. | Which unit, minimum and period are billed? |
| During changes | Moves, new areas, reconfiguration and extra visits. | What triggers a cost, and who authorises it? |
| Per event | Repairs outside the package, intervention or replacement under contract. | Rate, conditions, exclusions and supporting records? |
| At completion | Dismantling, return transport, reinstatement and account closure. | Which date ends each service and charge? |
For a standalone construction site camera, distinguish equipment from its operation: battery, panel, connection and alert handling are not automatically one service. Axis temporary configurations illustrate this architectural variety.
Check billing units and dates
The construction period and rental period may differ. Ask whether billing starts at delivery, installation or commissioning, and when it ends. Clarify rules for waiting time, delayed dismantling or storing equipment before return.
A “month”, “week” or “period” unit should be explained in the quote. Do not automatically approximate a weekly rate as monthly if the contract bills indivisible periods. Use the actual number of instalments and retain the calculation rule.
Compare offers in the same currency and on the same VAT basis. Separate refundable amounts or deposits from definitive expenses according to their contractual nature. An advance payment can affect cash flow without automatically becoming a final cost.
Build two scenarios without inventing prices
The first scenario uses the expected schedule and scope. The second represents an explicit change: an extension selected by the project owner, a relocated installation or an added area. It compares contractual flexibility rather than predicting events.
| Item | Reference scenario | Change scenario |
|---|---|---|
| Dates | Currently planned dates. | New dates chosen for analysis. |
| Scope | Areas shown on the plan. | Added area or relocated installation. |
| Recurring services | Quoted instalments for the period. | Additional instalments under the contract. |
| One-off services | Planned installation and removal. | Move, adjustment or altered return, if priced. |
| Unknowns | Items without a confirmed amount. | Extension or modification conditions to clarify. |
For usage-based interventions, you can specify a hypothetical number of events and apply the supplied rate. Label the calculation as a scenario. Do not use an invented theft rate to make the budget appear statistical.
Complete a budget sheet using received quotes
The worksheet tracks each item, unit, quantity and source. It contains no market prices. Enter amounts from current offers and retain validity dates. Calculate totals after clarifying units and inclusions.
Download the budget-by-phase worksheet (CSV)The total-cost calculator can then add known amounts over the chosen period. For revised rates or unusual instalments, calculate periods separately before entering them; do not apply a promotional first-month price throughout the project.
Compare the service delivered and exit terms
Similar totals can cover different responsibilities. One quote may only send alerts to your team; another may include operator verification with attendance charged separately. Record these differences before ranking quotes.
In a fictional example, storage must move during the works. Offer A has a lower rental fee but does not price the move. Offer B includes a specified reconfiguration. You cannot conclude that B is cheaper, or that A will stay cheaper, before obtaining the missing cost and conditions.
Finally, record acceptance criteria, defect handling, end dates and what happens to data and accounts. The guides to comparing security quotes and buying, renting and subscribing help examine commitments beyond the advertised price.
Frequently asked questions
Why not give an average monthly price?
A generic amount combines different durations, equipment, areas and services. Current quotes for a common scope are more useful for making a decision.
Should an extension be included in the budget?
You can examine it as a separate scenario with a chosen duration and the contract’s conditions. It is not a prediction of delay.
Is dismantling always included?
Check the quote. Installation, removal, return transport and reinstatement may be priced separately.
How do you compare a usage-based intervention fee?
Request its rate and charging trigger. Show committed costs separately from scenarios with an explicit number of hypothetical interventions.
