This article is part of our topic on quotes, contracts and costs.
The total cost of a security system is calculated by adding initial expenditure, recurring charges and other expenses over your chosen period. To compare two offers, use the same functions, duration and tax basis.
The calculator below uses only your figures. It assumes no equipment, remote monitoring or call-out prices. An unknown field stays unknown: enter zero only when the absence of a cost is confirmed or forms part of an explicitly chosen scenario.
Define what the total needs to compare
Start with the scope of the offers. An installation that records footage and a service that includes reviewing it do not meet the same need. Compare figures after clarifying this distinction.
Then choose the same whole number of months for every offer. State whether amounts include or exclude tax, without mixing the two. Keep the date, validity period and reference of each quote. If an amount may change, show this uncertainty rather than hiding it in an average.
Classify costs without counting an item twice
| Category | What to check in the quote | Watch out for |
|---|---|---|
| Initial costs | Assessment, equipment, building work, installation, configuration and acceptance. | Do not add equipment already included in a package. |
| Fixed monthly charges | The confirmed monthly total for your chosen services. | Usable as entered only if it stays constant throughout the period. |
| Other recurring charges | The sum of annual or other payments due throughout the period. | Enter the total of these payments, not just an annual rate. |
| Known one-off costs | Visits, maintenance or replacements already priced for the period. | Exclude initial costs entered above. |
| Variable scenario costs | Expenditure calculated using an assumed quantity and a documented rate. | An assumption is not an incident forecast. |
| Exit costs | Returns, removal or other charges applicable to the chosen scenario. | Do not assume every exit is free or chargeable. |
“Other recurring charges” can also accommodate an irregular payment schedule. If a monthly charge changes during the period, add the known payments in this category and enter zero in the corresponding fixed monthly field. Document the allocation to avoid counting the same payments twice.
For rental or a subscription, check the term, renewal and end conditions. For a construction site, match quantities to the phases actually being considered.
Your calculator: amounts taken from quotes
Enter the duration and the six amounts in CHF. For non-monthly recurring charges, one-off expenses, variable charges and exit costs, enter the total for the entire period. The calculation stays in your browser; this tool does not send these amounts anywhere.
A result appears only when every input is complete and valid. The form does not turn an empty field into zero expenditure. Apostrophes as thousands separators and decimal commas are accepted.
Enter only amounts from your quotes, in CHF and on the same VAT basis. Every field is required: enter 0 only when a cost is genuinely zero. Add charges that change over time under ‘Other recurring charges’.
Choose a duration from 1 to 240 months.
Assessment, equipment and installation, according to the quote.
Confirmed monthly amount for the entire period.
Add all annual or other payments actually scheduled; do not enter just an annual amount.
Maintenance or replacement already priced, excluding initial costs.
For example, assumed number of call-outs × documented rate.
Only charges applicable under your scenario and contract.
Calculated in your browser. This tool neither sends nor stores your inputs; they disappear when you leave or reload the page.
The formula and a simple check
Total = initial costs + (fixed monthly charges × number of months) + other recurring charges over the period + one-off costs + variable scenario costs + exit costs.
If maintenance is billed on specific annual dates, count the payments scheduled in the offer. Do not automatically prorate the duration in months. A period shorter than a year can still include a full annual payment; only the contractual schedule determines this.
To check the result, match each category to one or more lines in the quotes. Check inclusions, duplicates and expenses handled by another supplier. A connection or visit paid for separately belongs in the comparison if it is needed for the same scope.
Download the total cost preparation sheet (CSV)The CSV sheet lets you keep your assumptions and references. It contains no prices or spreadsheet formulas; calculate in the tool above or in your own file.
Compare scenarios without inventing a budget
Prepare a base scenario using confirmed charges and the selected quantities. Add a useful change scenario: extending a construction project, moving equipment, changing a package or arranging an extra visit. Request applicable rates before pricing that change.
| Situation | How to handle it | What not to conclude |
|---|---|---|
| Call-outs billed individually | Hypothetical quantity × dated rate, with a written assumption. | That the quantity predicts future incidents. |
| Variable rate with no future amount | Request the clause and construct explicitly hypothetical variants. | That the rate will necessarily stay the same. |
| Contract ends during the period | Confirm applicable charges and timing. | That all remaining payments are automatically due or cancelled. |
| Unpriced item | Keep the comparison incomplete until it is clarified. | That a blank field means zero. |
In a fictional example, a construction site has a quote for an initial duration, but an extension remains possible. The first comparison covers the planned duration. A second adds the payments and visits corresponding to a chosen extension. Both results remain tied to their scenarios: together they do not constitute a certain estimate of the final cost.
Read the result alongside the service provided
The total helps you identify differences and find their causes. Check whether a difference comes from equipment, an additional service, a term commitment or an expense left to you. Do not reduce the decision to the difference in price when the scope still differs.
Maintaining connected devices also involves operational work. The NCSC recommendations call for assigning updates and access management. The time spent on these tasks can be described separately; do not attach an arbitrary monetary value to it to favour an offer.
Before selecting a proposal, return to evidence of operation, the division of tasks between technology and people, and exit conditions. For a villa, the detailed budget checklist helps check the technical items in the project.
Frequently asked questions
Does the calculator give an average market price?
No. It adds the amounts you enter using an explicit formula. Values must come from your quotes and documented assumptions.
What should I enter if I do not know a cost?
Leave it blank and ask for clarification. Zero means the cost is absent under the offer or chosen scenario; it does not mean “I do not know”.
Where should I enter an annual bill?
Under other recurring charges, adding all payments due over the comparison period. Do not enter only the annual rate if several payments are due.
Does the tool store my budget?
The calculation runs locally in your browser, without sending or saving amounts through this tool. Keep your assumptions separately if you want to find them again.
Can I compare purchase and rental?
Yes, using the same functions, period and explicit assumptions. Read total expenditure alongside differences in ownership, services and exit conditions.
